Fax explained
Sending a multi-page document by fax: one file, one PDF, one sending
A file sent as several faxes arrives in several pieces, often at different times and sometimes in different trays. The recipient, however, is expecting one file.
Short answer
Put all the documents into a single PDF, in the order the recipient should read them, preceded by a cover sheet stating the total number of pages. The form accepts a PDF of up to 100 MB, with no page limit. A document of two pages or more costs €3.99 incl. VAT, however many pages it has; a one-page fax stays free and unlimited.
Preparing the file, in four steps
- 1
Gather the documents as PDF
Export digital documents to PDF and scan paper ones with a scanner or a smartphone scanning app. Photos, screenshots and Word files must be converted: the form only accepts PDF.
- 2
Put them in order
In the order the organisation asks for or, failing that: the main letter or form first, then the supporting documents in the order they are mentioned. Number them if the letter refers to them — “document 3” can be found, “the proof” cannot.
- 3
Add a cover sheet
At the top of the PDF: recipient, sender, subject and total number of pages, cover sheet included. That count is what lets the recipient check that nothing is missing.
- 4
Merge and check
Combine everything into a single file with the tool of your choice (Preview on macOS, a PDF editor), then go through it page by page: orientation, legibility, no stray blank pages. The number of pages is counted from the file when you send it.
Pages are counted from the file
The service reads the actual page tree of the PDF: every page in the file counts, cover sheet and blank pages included. The price is shown in the form, next to the document field, and payment is requested when you submit; it is only charged when you confirm the sending. A fax arrives in black and white: a low-contrast document or a dark photo may become unreadable, and the time to check is before sending.
Frequently asked questions
- Does the price depend on the number of pages?
- No. A document of two pages or more costs €3.99 incl. VAT, whether it has two pages or forty. Only a one-page fax is free, with no limit on the number of faxes. PDF acknowledgments of receipt are a separate option, also at €3.99 incl. VAT.
- Why not send several faxes?
- Because a split file is hard to put back together: the faxes arrive separately, with nothing linking them, and a single document on its own may be filed elsewhere or lost. One sending, with a cover sheet announcing the total, lets the recipient check that everything arrived, and lets you prove what you sent in one go.
- The file is too large: what can I do?
- The limit is 100 MB, which comfortably covers a scanned file. A heavier file almost always comes from very high-resolution colour scans: rescan in black and white or greyscale at 200 or 300 dpi, or use your PDF editor's optimisation feature. Since the fax is transmitted in black and white, nothing visible is lost.
